POSITION DESCRIPTION-TECHNICAL ADVISOR/PROJECT ASSISTANT

Job Title: Technical Advisor/Project Assistant
Reporting to: Coordination Desk Officer

The Renewable Energy and Energy Efficiency Association – Alliance (REEEA-A) is an umbrella body of Renewable Energy and Energy Efficiency Associations in Nigeria, established under the Nigerian Energy Support Programme (NESP II) by the Governments of Germany and Nigeria, with the support of the European Union (EU) and being coordinated by the GIZ and Federal Ministry of Power. The Alliance was created out of the need to promote the development of Renewable Energy and Energy Efficiency sector in Nigeria, to bridge the gap between the private sector and Government Institutions and acts as a means for meeting the Energy access and affordability as provided under SDG7.

PRIMARY RESPONSIBILITIES

• General administrative support including preparing letters and documents, receive and sort mail and deliveries, schedule appointments;
• To provide administrative support to the Board of Trustees and Staff meetings;
• Assist with project related administrative work as required;
• Providing administrative support to staff, Governing Council and Board of Trustees;
• Responsible for entering financial information and maintaining financial records for projects and for the organization;
• To administer travel and hotel arrangements for staff members, where appropriate.
• Responsible for processing procurement and service invoices of local suppliers and service providers;
• Verifying the invoice and reimbursement claims of the Governing Council, Board of Trustees and other staff against fees & expenses and sending the payment request in the prescribed format to the Coordination Desk Officer for release of payment;
• Reviewing budget and program expenditure on a monthly basis in coordination with the Coordination Desk Officer;
• Maintaining efficient filing system for the administrative and accounting records;
• Providing necessary accounts & administration support to the program team in general;
• Supporting the Coordination Desk Officer in drafting contracts, and preparing different presentations, training materials and coverage report as per program needs;
• Facilitating and organizing arrangements for the meetings, workshops and seminars;
• Ensure that all financial reporting is completed on time and submitted to donors;
• Log and submit all claims to appropriate funding body (multiple funders) and maintain all relevant paperwork in good order;
• To manage stock control and ordering of supplies, including stationery and letterhead, office sundries, stamps, kitchen supplies and office furniture;
• Any other duty assigned.

Academic Qualifications, Knowledge and Technical Skills and Experience:
• University degree in Law with 3 years experience (post-NYSC)
• Sound work experience in projects
• Very good communication skills
• Accurate, reliable, well-organized, and self-motivated. Service-minded and problem-solving oriented.
• Good report writing skills.
• An ability to prioritize, plan, and organize work in a busy environment.
• Excellent oral and written communication skills.
• Excellent interpersonal skills and team player.
